Starting point & challenge

Essentially every appointment depended on a phone call. Social channels generated almost no measurable bookings, and Direct replies took approximately six hours.

Off-peak utilization was 58%. The four locations had 96 reviews combined and an average rating around 4.1. The objective was trackable communication and booking, not simply Instagram growth.

02 / Responsibility

Owned, delegated, client-side

Project delivery

Content formats, booking paths, response standards, review requests and CRM segmentation are documented. Individual production responsibilities were not supplied.

Client operations

Reception handled booking and source recording in YClients. Staff alignment became a required campaign checkpoint.

03 / Work log

How the work unfolded

  1. March 2024 onward · operating setup

    Give booking a permanent place

Twelve recurring short-form formats covered procedures, care education, staff expertise and behind-the-scenes operations. Traditional before/after content was deliberately not the foundation.

Online-booking deep links moved into permanent profile positions. A 25-minute working-hours Direct response target, booking automation, reception review QR codes and YClients source tracking connected content to operations.

  2. Two-month CRM reactivation campaign

    Work the existing customer base

The team identified 1,900 clients absent for more than 90 days. Messages were segmented by prior services and reasons to return rather than using a generic mass discount.

Seventeen percent reactivated: 323 returning visits. This was CRM retention using existing customers, not 323 newly acquired social-media customers.

  3. During the engagement · offer revision

    Judge the quality of bookings

A 30%-off campaign generated 120 bookings, but 34% did not show and repeat behavior was close to zero. The offer changed to a diagnostic consultation plus a complimentary care service with the first visit.

The following offer cohort’s no-show rate was approximately 12%. Cohort size and other differences were not supplied, so this is not presented as a controlled causal experiment.

  4. During the engagement · navigation correction

Stop burying the next step in Stories

Repeated Story booking calls to action produced about 0.8% CTR. Pinned content, permanent profile navigation and automated Direct responses raised the reported effective click-through rate to approximately 3.1%. The placements and denominators differ; this is not a like-for-like ad test.

  5. By February 2025

    A more trackable booking operation

Social-origin online bookings reached approximately 210 per month. YClients source completion reached about 74%, so the tracked booking count is treated as a lower bound rather than extrapolated to cover all bookings.

04 / Operating infrastructure

What made the work repeatable

Content inventory

12 repeatable short-form formats, not dependence on before/after images.

Booking paths

Permanent deep links, pinned navigation and automated Direct responses.

CRM segmentation

Prior-service segments and a 90-day inactivity threshold.

Reception workflow

Response SLA, review QR codes and source recording in YClients.

05 / The difficult part

Failures, constraints & corrections

The discount filled the wrong calendar

120 bookings concealed a 34% no-show rate and near-zero repeat behavior. The replacement offer emphasized consultation and care.

Staff were not aligned before publication

A “follow your specialist” transition campaign went public before the process was agreed with the departing specialist. Negative comments followed. Staff communication became mandatory before employee-specific campaigns.

Temporary content hid the booking path

Story CTAs underperformed. Booking access moved to persistent navigation and automated replies.

“We were worried online booking would remove the personal element. Instead, our administrators stopped functioning like a call center.”
